This is a part-time position working at our offices in Houston. This position is scheduled for 24 hours per workweek, with some flexibility on which days and the number of hours worked each day. Our office hours are typically 8 a.m. to 5 p.m. on weekdays, but the Project Coordinator may be required to communicate with international clients outside these hours on occasion. There may be an opportunity for this position to transition to a full-time position.
The Project Coordinator will report to the Head of our Affiliate Programs Team. The salary range for this position is $18-20 per hour and the final rate of pay is based on level of experience.
High level of interaction with client accounts in various forms of communication, written (via email) and verbal (telephone calls or Zoom for International clients)
Resolve product or service issues by clarifying need; determining the cause of the problem; selecting and explaining the best solution to solve the problem; expediting correction or adjustment; following up to ensure resolution
Document verbal/written communications to Birkman CRM (Salesforce)
Submit orders and updates to our Support team for processing
Maintain a flexible, responsive, and accessible attitude toward all clients
Be responsive and meet all service-level agreements for each client support category
Perform routine administrative duties including data research, editing, and proofreading written materials to ensure correct format, spelling, punctuation, and grammar, preparing PowerPoint presentations
Maintain documentation of department sales processes, policies, and product materials
Skills & Knowledge:
Strong communication skills, both verbal and written
Highly detail-oriented, with very low margin of error when entering/changing data in spreadsheets and online systems
Ability to work as an integral part of a team, and contribute creatively to the success of the group

We are looking for an Accounting Manager to manage all aspects of accounts receivable and accounts payable for Birkman International. The Accounting Manager leads a team of specialists to deliver accurate financial results, operational excellence, and a scalable cross-functional platform to help drive Birkman International’s long-term growth. This position reports to the company’s Corporate Controller.
Birkman has been in operation in Houston for 70 years, with a strong local footprint and a global impact. Birkman is a SaaS supplier of reports and associated training in the personality and perceptual assessment industry and operates in 24 languages globally. Key Duties and Responsibilities:
Responsible for all activities in the overall Accounts Receivable and Payable functions.
Establish strategic and collaborative methods of increasing cash flow, reducing bad debt, eliminating waste, and increasing sales volume.
Simplify existing complex processes and systems for account reconciliations and month-end closing.
Supervise and manage a team of Accounts Receivable and Accounts Payable specialists.
Standardize processes and procedures and continuously improve the financial and operational processes of the group; Assist in the design, implementation, and monitoring efforts of internal controls relevant to the Company’s business objectives.
Review and/or Approve proposed sales contracts and orders to ensure they conform to established processes.
Tracks trends of financial transactions and provide analysis to support strategic decision-making for the company.
Ensure effective AR and AP processes and implement efficient process changes consistent with best practices:
Oversee the overall receivable process, including all billing, credit, collections, cash applications, and accounts receivable operations at Birkman International, Inc.
Manage the AR Specialist position(s) and the overall Accounts Receivable cycle to ensure accurate and timely billings of Birkman products and services.
Identify ways to mitigate credit risks; Manage collection activities such as sending follow-up inquiries, negotiating with past due accounts, and referring accounts to collection agency.
Review receivable aging and coordinate with the appropriate Sales Manager and Client Relations department (internal) and Collection Agency (external) to improve receivable turnover.
Responsible for the accuracy and timeliness of customer billings throughout the billing cycle; Reconciliations of Accounts Receivable, Accounts Payable, revenues, deferred income, and certain expense accounts.
Manage customer relationships and oversees the handling of customer inquiries, complaints, and dispute resolutions.
Resolve exceptional situations in the receivables process, calculate complex provisions; advise on debtor risk mitigation methods.
Manage setup of Vendor/Supplier payment portals with clients to ensure invoices are submitted according to their requirements and paid on a timely basis.
Responsible for the entire Accounts Payables process; calculate the impact of creditors on financial ratios.
Manage the sales tax accounts for all entities that Birkman remits sales tax to.
Ensure timely payments of vendor invoices and expense vouchers and maintain accurate records and control reports.
Collaborate with other financial staff to project cash flows and allocations.
Ensure that Accounts Payable transactions are timely and accurately processed.
Review Expense Reports and submitted vendor invoices to ensure compliance with relevant Company policies and procedures.
Oversee the disbursements of referral fees and sales commissions based on agreed-upon arrangements by the company.
Manage vendor relationships and oversees the handling of inquiries, complaints, and dispute resolutions.
Serve as the backup for all AR and AP positions if required, and ensure that the staff is cross-trained to provide coverage when an employee is on PTO or otherwise not at work.
Perform other duties as assigned.
Bachelor’s Degree in Accounting, Finance, or Business Administration; CPA or CGMA candidate preferred.
Minimum 5 years of relevant experience in AR and AP processing and at least 3 years of managerial experience in those areas.
Detail-oriented and proven ability to handle confidential information properly.
Able to research and prepare relevant information to support business decision-making.
Working knowledge and experience with Sage Intacct or other automated commercial accounting systems.
Excellent computer literacy is required, particularly in using spreadsheets. Highly proficient in Excel and other Microsoft Office products.
Highly effective and professional communication skills, both verbally and in writing.
Ability to maintain accurate and detailed records and to learn new programs, processes, and technology.
Ability to work and succeed in a dynamic and fast‐paced environment with multiple and changing priorities while establishing and meeting deadlines; Has a growth mindset.

Customer Service Agent/Receptionist
Birkman International, the leader in workplace assessments, has an opening for a Customer Service Agent/ Receptionist at its headquarters in Houston, Texas. This position will play a key role in the first impressions of our customers. This position’s primary responsibilities will be managing and routing incoming phone calls, providing customer service, and managing visitor access to the office.
The successful candidate will have experience with reception desk job responsibilities along with proficiency in using the Microsoft Office Suite, and be comfortable with learning additional software systems are necessary. This job is for an enthusiastic and professional self-starter who thrives in a fast‐paced, collaborative environment. It is critical that any candidate be comfortable managing multiple calls and prioritizing tasks while maintaining high levels of accuracy in the work that they do. This position will report to the Senior Manager of Product Operations and is not eligible for remote work. Hours will typically be 8:00 a.m. to 5:00 p.m. Monday to Friday but may be adjusted as departmental workload fluctuates.

Three years of experience in a customer service or hospitality role is preferred
